How to invite teammates
How-to guideInvite someone by email, pick a role, and land them in the workspace. Ownership is not transferred here.
Goal
Invite a person by email, assign a role, and land them in this workspace when they accept.
Conditions
- You are a workspace owner or admin.
- You know the invitee email and the role they should have.
- You are not transferring ownership. Ownership is set once at provisioning.
Procedure
- In the team panel, enter the email and choose Admin, Editor, or Viewer. Send the invitation.
- If you want another channel, copy the accept link from the dashboard and send it yourself.
- The invitee opens the link, sees the workspace and role, signs in if needed (a sign-in link returns them here), and lands as a member.
- If you want to cancel before accept, revoke the pending invitation.
Verification
The person appears in the member list with the role you picked. The accept link granted exactly that role.
Tip
Treat the accept link as a credential. Send it only to the person you mean to invite. It expires if unused and can be revoked until accepted.
Failures
- Expired or revoked link: send a new invitation. The old link does nothing.
- Cannot assign Owner from the panel: ownership is not transferred here.
- Admin cannot change their own membership: another owner or admin must do that, so no one locks themselves out.
- UI allowed a bad request: the server still rejects it. Roles are enforced on the server, not only in the interface.
The roles
Four roles. Owner is set once. The other three you assign as you see fit.

| Owner | Full control, including team, branding, and insights. Set once at provisioning. |
| Admin | Manage the team, set branding, and view analytics and the activity log. Day-to-day owner work short of changing ownership. |
| Editor | Work on documentation content and the settings around publishing it. |
| Viewer | Read access to the workspace, without the ability to make changes. |
